‘CRM System’; ‘we’; ‘us’ and ‘our’; means the online software on trackpro.co.uk; Android App Trackpro; Apple IOS App Trackpro;

‘Customer’; ‘User’; ‘You’ and ‘Your’; ’Their’ means any person or business who is a Customer or an Active User (Involved Party) that is registered to use our Trackpro CRM System and is authorised and managed by our Client.

With this privacy policy, we want to let you know that we at Trackpro Ltd promise to take care of the personal information you as a client provide to our CRM system for storage and safe keeping. If you are the client of one of our clients, you may have not heard of us. But still there is nothing more important for us then the relationship with you and Trackpro CRM system. This privacy policy will explain how we protect your rights and care for you information.

The CRM system Trackpro is provided by Trackpro Ltd based in London, UK. We are the controller of personal information that is collected and managed by our clients.

We provide our clients with the managing tools for handling their customer and company information to build a better customer relationship and provide a better service.

Who are our clients

Our clients are processor. Our tools and services are targeted to any-sized business or organisation that is looking for a system to hold their customer details and use the information to improve their customer relationship. All our clients are in Europe with the majority in the UK.

How we obtain data about you

We don’t typically collect information directly from Individuals. Our client gather information about their Customers and then directly or with our help input this information into our platform ready for their use.

The type of data we process

Each of our client uses their own inputted data differently. What is common amongst our clients is that they compile data that helps them better relate to you and provide more efficient and effective services.

Client may choose to integrate our platform to link with Marketing Company systems such as “Hootsuit” and “Active Campaign”. You may give consent to provide your email address for marketing purposes, only then may the client opt you in, into their mailing list. If you choose opt-out. The two systems will sync together on a regular basis to notify each other of any changes to your subscription status.

Use of the Platform

The clients will determine how they will use our CRM platform and each may vary due to their services provided. All features will be enabled by default and our Client is bound by contract and T&C to comply with all applicable laws and our company policies. Clients are only allowed to use this platform for legitimate and legal use of customer data.

Right to Erasure

You as a customer and a user to our platform have the right to request that we erase all data related about you. Each client has the enabled feature to securely and safely shred and erase all digital information on our platform about you that is no longer necessary for use.

Request & Receive A Copy Of Your Data

If you would like to receive a copy of your data, you can contact your client to provide you with a PDF copy of your data from our platform. Or you can contact us on [email protected]. This process is a manual process carried out by your client or one of our technicians.

Our use of cookies

We do not store any Persistent or intrusive Cookies that may collect personal details. We use session cookies are used in the core of the CRM platform.

As is true of most web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system, date/time stamp, and clickstream data.

Third parties with whom we share your data and why

The Company may transfer personal information for processing by other companies that help us provide our service. The Company uses third party vendors and hosting partners to provide the necessary hardware, software, emailing, networking, storage, and related technology required to run The Service. These companies are authorized to use your personal information only as necessary to provide these services to us. The use of third parties are governed by the provisions in this policy regarding notice and choice, and the service agreements with our clients.

How long will we keep your data?

We will keep our Clients contact and company information for as long as they are our subscriber and customer of Trackpro. After the period of cancelation of contract. They will be given the opportunity to export their data within a reasonable time frame for them to migrate if they choose to. After the time frame, which will be 2 weeks. All platform data regarding this client will be deposed off. Contact details could be kept for up to 1 year after for any future enquiries.
Each of our clients will have the enabled feature to review their expiry period of their data which is stored on our platform. Each client may have different policies and legal requirements for storing their customer data. Therefore, our platform allows our Clients to set up their own time period for when a customer data expires after being marked as “Complete”. After the time period the Client will be notified in multiple ways to take action such as deletion.

Disclosures of Personal Data

The Company Trackpro will not sell this information or any Clients details, rent it, or exchange it with any third party. We will share your personal information with third parties only in the ways that are described in this privacy policy. Trackpro uses the information that was gathered to service you, bill you and perform research regarding the usage of The Service of the platform.
However, if requested by law, The Company holds its right to share your information with the authorities; as required by law, such as to comply with a subpoena, or similar legal process; when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request; to any other third party with your prior consent to do so.

Assuring your rights

From the 25th of May 2018, GDPR assures that the rights and intentions of every individual regarding their personal data are respected. Any individual can request to access the data we hold about them, assure it is current, correct and complete, and if the individual provided consent for that data to be processed, can revoke that consent freely unless bound by contract stated in their T&C with our clients. Individuals can also request that specific data held about them be updated, modified or deleted, or that all data about them be forgotten or ported. Individuals can make decisions regarding marketing preferences and the movement and transfer of their data. As our Client you have the right to exercise any of these items listed above and can be request at: [email protected] or if this is related to your personal details from one of our clients. You must notify them using the contact details you have arranged with them.
